Accounting Specialist
Job Description
Summary
The Accounting Specialist is responsible for the application of the firm’s cash receipts on a daily basis. This position will also assist the accounts payable team with a variety of tasks, as workloads require. Processes automated Accounts Payable file uploads, and assists with new automation initiatives. Handles additional ad hoc tasks as determined by management.
Required Education & Experience
- 2 years minimum Accounting or Finance experience.
- Experience in Microsoft Word and Excel.
- Strong customer service background.
Preferred Education & Experience
- Law Firm experience preferred.
- Bachelor’s degree in Accounting or Finance, or equivalent experience.
Essential Functions

- Cash Application/Banking (80%)
- Post all daily cash receipts to client accounts.
- Prepare backup for cash receipt batches to assist in reconciling daily bank activity.
- Provide backup for monitoring daily bank activity for incoming wire transfers.
- Provide backup for processing credit card payments from clients.
- Perform research on cash receipt applications as necessary.
- Accounts Payable (10%)
- Process accounts payable uploads.
- Troubleshoot upload issues related to daily, weekly and monthly uploads.
- Assist with the approval of invoices for both firm and client billable expenses.
- Assist with the approval of expense reimbursements and uploading reimbursement batches for payroll.
- Assist with invoice approval and processing check payments to vendors.
- Process USPTO cost uploads for billing on client invoices.
- Train on all accounts payable postings, and post, as workloads require.
- Tax Compliance (5%)
- Assist in tracking and scanning W9s, and assist with response to annual B notices related to 1099 submissions.
- Obtain and monitor vendor W9s, Federal ID Numbers and TIN Matching for all AP and Trust Vendors.
- General and Administrative (5%)
- Perform other duties as assigned.

Work Environment & Physical Demands
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the responsibilities of the position, these work environment characteristics are representative of the environment the person in this position will encounter. While performing the duties of this job, the employee will work in a professional, fast paced office environment that may require additional hours to complete work.
